This Interim Privacy Policy ("Privacy Policy") explains how personal data is collected, used, stored, and protected in connection with the HaulVision website, platform, services, subscriptions, and communications (collectively, the "Services").
The Services are operated and provided by HaulVision LLC, a Georgia limited liability company ("HaulVision," "we," "us," or "our").
By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy.
1. SCOPE & STATUS
This Privacy Policy applies during HaulVision's early, pilot, beta, and pre-launch phases. As the Services evolve, this Privacy Policy may be updated or replaced by a more comprehensive version.

3.1 Information You Provide
We may collect personal or business information you voluntarily provide when you interact with HaulVision, including through the website, scheduling tools, payment flows, meetings, or third-party platforms used to deliver the Services.

Files, branding assets, specifications, or materials you upload or provide.
3.2 Leads, Event Registrations & Marketing Preferences
When you submit an event, giveaway, demo, contact, dealer-profile, configurator, or other lead form, we may collect the information entered in that form, including your name, company, email address, phone number, business interests, trailer needs, form responses, and communication preferences.
We may also record the source of the inquiry, the date and time of submission, the consent language presented when you submitted the form, and your subsequent interactions with HaulVision communications. This information helps us document consent, respond to requests, manage business relationships, and respect communication preferences.
3.3 Payment Information
Payments and subscriptions may be processed through trusted third-party payment providers and/or tracked internally for billing, accounting, and access management purposes. Depending on the payment method used, we may receive and store limited payment-related information necessary for operational, accounting, or compliance purposes. We do not intentionally store full credit card, debit card, or bank account details except where required for legitimate business, accounting, or legal reasons, and where such data is handled using reasonable security measures.

When you access the Services, we may automatically collect:

Manage subscriptions, Vision Credits, billing status, and access
Schedule meetings and deliver Services

Respond to inquiries and provide requested event, giveaway, demo, configurator, or dealer-profile follow-up
Manage leads, evaluate business interest, and maintain prospective customer and dealer relationships

5. MEETINGS, RECORDINGS & AI TOOLS
Meetings, live sessions, or design reviews may be recorded, transcribed, or summarized using third-party tools.
By participating in meetings, you consent to:
Audio and/or video recording
Transcription and AI-generated summaries
Secure storage on third-party platforms
AI-generated summaries are for reference only and may contain inaccuracies.
If you do not wish to be recorded, you must notify HaulVision in writing before the meeting begins.
Recordings, transcripts, and AI-generated summaries may be created, processed, and stored using third-party platforms such as Dialpad, Fireflies.ai, or similar tools selected by HaulVision.
6. MARKETING COMMUNICATIONS, PORTFOLIO & PROMOTIONAL USE
Lead Follow-up and Marketing Communications
If you submit information through the NATDA signup form or another HaulVision lead, event, giveaway, demo, contact, dealer-profile, or configurator form and agree to the accompanying communication disclosure, HaulVision may use the contact details you provide to respond to your request and to send information about HaulVision products, services, demonstrations, events, offers, announcements, surveys, dealer opportunities, and related business or marketing matters.
Where applicable law requires consent for marketing communications, HaulVision will rely on the affirmative choice made through the form or another valid consent mechanism. Providing information solely for a specific transaction or support request does not authorize unrelated marketing where separate consent is legally required.
You may withdraw consent or opt out of marketing emails at any time by using the unsubscribe method included in a message, where provided, or by contacting info@haulvision.com. Opting out of marketing does not prevent HaulVision from sending transactional, account, security, project, or service-related communications that are necessary to provide the Services or fulfill a request.
Unless explicitly prohibited in writing prior to service commencement:
Non-confidential project visuals, screenshots, recordings, excerpts, or anonymized outputs may be used for marketing, portfolio, educational, training, advertising, or promotional purposes;
Identifying details may be anonymized, blurred, or omitted where reasonable.
Advertising & Audience Targeting
We may use limited identifiers (such as name or email address) in hashed or anonymized form to create advertising or lookalike audiences on third-party platforms (e.g., Google, Meta, or similar services).
We do not sell or rent personal data. You may opt out of this use at any time by contacting info@haulvision.com.
For purposes of the California Consumer Privacy Act ("CCPA") and the California Privacy Rights Act ("CPRA"), HaulVision does not sell personal information and does not share personal information for cross-context behavioral advertising, except where permitted by law and subject to applicable opt-out rights.
7. DATA SHARING, THIRD-PARTY PLATFORMS & SERVICE PROVIDERS
HaulVision does not sell, rent, or commercialize personal data.
To operate, deliver, maintain, and improve the Services, HaulVision utilizes third-party platforms, infrastructure providers, software vendors, and service providers. These providers may process personal data on HaulVision's behalf in accordance with their own privacy policies, contractual obligations, security practices, and applicable laws.
We may share information only as reasonably necessary with:
Service providers supporting the operation of the Services;
Contractors, consultants, or subcontractors assisting in service delivery;
Legal, regulatory, governmental, or law enforcement authorities where required by law or necessary to protect rights, property, safety, or security.
Third-party providers used in connection with the Services may include categories such as:
Website Hosting, Infrastructure & Development
Providers supporting website hosting, deployment, databases, cloud infrastructure, development, and operational systems, including Wix, Vercel, Supabase, Google Cloud, GitHub, and similar platforms.
Forms, Scheduling & Data Collection
Providers supporting forms, onboarding, intake, scheduling, and customer data collection, including Jotform and similar tools.
Payments & Billing
Payment processors and billing platforms, including Stripe, used for subscriptions, invoices, onboarding fees, and related transactions. HaulVision does not directly store complete payment card or banking credentials.
Communications & AI-Enabled Services
Communication, messaging, meeting, transcription, analytics, customer relationship management, and AI-assisted workflow platforms, including Dialpad, Twilio, SendGrid, Fireflies.ai, WhatsApp, Facebook, Instagram, and similar providers. These platforms may be used to communicate with clients, customers, leads, or users regarding HaulVision services, projects, onboarding, scheduling, updates, support, marketing, operational matters, or other business-related communications. Such services may also support features including call recording, transcription, AI-generated summaries, analytics, customer communications, and workflow automation.
Cloud Storage & Collaboration
Platforms supporting file storage, collaboration, project management, operational continuity, and internal workflows, including Google Drive and similar providers.
Some third-party providers may process or store personal data outside of your province, state, or country of residence. By using the Services, you acknowledge that information may be transferred to jurisdictions with different data protection laws than those applicable in your jurisdiction.
HaulVision does not control and is not responsible for the independent privacy practices, policies, or security measures of third-party providers. Users should review the applicable privacy policies of any third-party services they interact with.
8. DATA RETENTION
We retain personal data only for as long as reasonably necessary to:
Provide the Services and manage subscriptions;
Maintain business, accounting, and tax records;
Comply with legal or regulatory obligations;
Resolve disputes or enforce agreements.
