Transcription and AI-generated summaries
Secure storage on third-party platforms
AI-generated summaries are for reference only and may contain inaccuracies.
If you do not wish to be recorded, you must notify HaulVision in writing before the meeting begins.

Recordings, transcripts, and AI-generated summaries may be created, processed, and stored using third-party platforms such as Dialpad, Fireflies.ai, or similar tools selected by HaulVision.

6. MARKETING, PORTFOLIO & PROMOTIONAL USE
Unless explicitly prohibited in writing prior to service commencement:
Non-confidential project visuals, screenshots, recordings, excerpts, or anonymized outputs may be used for marketing, portfolio, educational, training, advertising, or promotional purposes;
Identifying details may be anonymized, blurred, or omitted where reasonable.
Advertising & Audience Targeting
We may use limited identifiers (such as name or email address) in hashed or anonymized form to create advertising or lookalike audiences on third-party platforms (e.g., Google, Meta, or similar services).

Our website and certain client-facing pages are hosted and operated using third-party website infrastructure and content management platforms, including Wix. Forms & Data Collection

We may use third-party form and intake tools, such as Jotform, to collect information including contact details, project requirements, specifications, and service requests. Data submitted through these tools is used solely for operational, service delivery, and communication purposes.

Payments & Billing

Payments, subscriptions, onboarding fees, and related billing activities are processed through third-party payment processors, including Stripe. HaulVision does not directly store full credit card or banking credentials. Payment data is processed in accordance with the provider’s security standards, compliance obligations, and privacy policies.

Communications, Calls & Contact Management

Phone calls, video meetings, and related communications may be conducted using third-party communication platforms, including Dialpad. These tools may support call recording, transcription, AI-generated notes, summaries, analytics, and contact management features. Participation in calls or meetings constitutes consent to such processing, subject to the disclosures in this Privacy Policy.

AI Transcription & Meeting Intelligence

HaulVision may use AI-enabled tools, including Fireflies.ai or similar services, to transcribe, summarize, or analyze meetings and calls. AI-generated outputs are provided for reference and convenience only and may contain inaccuracies. These tools do not replace professional judgment, verified documentation, or contractual deliverables.

Cloud Storage & Collaboration

Project files, recordings, transcripts, assets, internal documentation, and shared materials may be stored and managed using secure cloud storage and collaboration platforms, including Google Drive, to support access control, versioning, collaboration, and operational continuity.

By using the Services, you acknowledge and agree that personal data may be processed by these third-party providers as part of normal business operations. HaulVision does not control and is not responsible for the independent privacy practices, data handling, or security measures of third-party platforms.
